Mandatory Rules for Market Exhibitors
– Non-Compliance Means Removal
Please note:
Please read these rules carefully before applying — failure to comply will result in removal from the event without refund.
To participate in HYPER JAPAN as a Market Exhibitor, please carefully read and follow the rules below:
- Registration & Payment
- Insurance & Legal Requirements
- Payment must be completed at the time of registration. If you do not see a checkout process, your registration is incomplete — please try again.
- Registration is only confirmed once you receive a confirmation email. No reservation is valid without both confirmation and payment.
- Each exhibitor (brand) is allowed only one table. Sharing with other brands or exhibitors is not permitted.
- You may not sell or give your pitch to another exhibitor. Please contact the organiser if you need to cancel. Refunds may not be available depending on the cancellation date.
- All Market Exhibitors are required to have valid Public Liability Insurance covering all 4 days of the event (including the setup day and all event days).
- If you have any paid or unpaid staff helping you, Employer Liability Insurance is also required.
- If you are coming from outside the UK, you must ensure you can obtain valid insurance and are legally allowed to carry out commercial activities in the UK.

- Prohibited Sales and Product Restrictions
- Food and beverage sales are strictly prohibited, including sweets, snacks, alcohol, and other consumables.
- The sale, display, or distribution of unlicensed, unofficial, or counterfeit goods—including but not limited to figures, toys, clothing, accessories, and printed materials—is strictly forbidden.
All merchandise must be officially licensed.
- The organiser reserves the right to inspect any product and order the removal of non-compliant items. Exhibitors found in breach may be required to cease trading immediately and may be expelled from the event without refund. Serious or repeated breaches may result in permanent exclusion from future events.
Violators may be removed from the event without refund and permanently banned from future events.
- Cosplay Weapons and Swords
Only pre-approved specialist vendors may display or sell replica weapons. If approved, the following conditions apply:
- Items must be securely mounted behind your table.
- Must be covered with an acrylic sheet and fixed to a board.
- Items must be inaccessible to visitors during show hours.
- No stock may be brought to the venue and no on-site sales are allowed. Orders may only be taken for off-site shipping.
- The organiser or local council may inspect and request removal of items at any time.
- All weapon-type products purchased by customers must be fully wrapped or packaged to prevent any use within the venue.
- Sale of Cosmetics & Personal Care Products
If you intend to sell cosmetics or personal care items, you must comply with all UK Cosmetics Regulation (UKCR) requirements:
- Appoint a UK-based Responsible Person (RP)
- Notify products via the UK SCPN portal
- Provide valid Cosmetic Product Safety Reports (CPSRs)
- Label all products in English, including ingredients and safety info
- Follow GMP (Good Manufacturing Practice)
The organiser may request proof of compliance at any time. Non-compliant items will be removed without refund. Exhibitors are fully responsible for legal compliance.
- Sale of Video Games, Consoles, and Accessories
If you sell games, consoles, or related products:
- Display official PEGI age ratings
- Do not sell PEGI 18-rated games to anyone under 18
- Ensure electronic items comply with UKCA standards and plug safety
- Do not sell counterfeit or unlicensed products
- Clearly mark any used or imported items
The organiser may ban the sale of items deemed unsafe, unlicensed, or inappropriate.
- Content Restrictions
To maintain a safe and inclusive space for everyone:
- No products featuring sexual content or graphic violence
- No items that sexualise or fetishize minors
- Sharing links or handing out any flyers, cards, or other promotional materials related to prohibited products is strictly forbidden
Violations will lead to immediate removal of items, disqualification from the event, and no refund. Serious or repeat violations may result in a permanent ban.
- Furniture & Equipment
- The only equipment provided will be tables and chairs.
- Upon receipt of the furniture at the event, please check immediately for any defects or damage before use.
- If you find any defective or damaged items, please report to the Organiser’s Office immediately.
- The organiser accepts no responsibility for any injury, accident, or damage arising from failure to check the condition of the provided equipment prior to use.
- Table Purchase Limits
Artist Tables are limited to 1 table per person or per brand.
・All other tables are also limited to 1 table per person or per brand as a general rule.
・In special circumstances — such as unsold tables remaining or larger tables being sold out — the Organiser may, at their discretion, approve the purchase of up to 2 tables per person or brand, provided that the exhibitor contacts the Organiser in advance and obtains approval before purchasing.
